Job Description:/h3:
The Sales Department Assistant is responsible for providing a high:level of administrative day:to:day office operations, maintaining sales records, executing reports involving highly sensitive data, and sales representatives support; will proactively work with the Senior Vice President of Business Development to assist in developing and optimizing their sales operations and marketing strategies; support our Customer Care Center, Marketing, and Education Team when needed.
Duties and Responsibilities
Support and Maintain Office Effectiveness :
Open and close office, including lights, phones, other office equipment, unlocking and locking appropriate cabinets and doors, etc.
Triage incoming questions and calls from Sales Representatives. Provide information on systems or reports run by the Sales Department.
Distribute incoming mail, faxes, packages, and documents delivered.
Post outgoing mail, and coordinate courier pick:ups and deliveries as needed.
Troubleshoot and coordinate facilities maintenance issues.
File, scan and copy documentation as needed.
Keep office spaces and conference rooms neat, tidy, and organized.
Assist with other administrative duties as directed by the Senior Vice President of Business Development.
Monitor, order, and stock paper (including copiers) and other supplies as needed.
Ensure proper inventory of all office supplies (i.e. paper, envelopes, general office supplies, toner for office machines, etc.)
Support and Assist Senior Vice President of Business Development :
Scheduling meetings and office events, which can include Department or Company:wide meetings or one:on:one meetings with the Senior Vice President and employees.
Ordering food for meetings, office events, staff lunches, or training sessions.
Understand and support high:level management needs and tasks.
Willing to go the extra mile to understand system processes to help better communicate the needs of the Sales Department, which may require higher levels of administrative access.
Sales Department Marketing :
Help assist the Marketing Coordinator with administrative marketing duties.
Help order and monitor marketing supplies needed for the Sales Representatives.
Be able to create and maintain basic:level publisher files for in:company marketing materials.
Education and Classes :
Help assist the Education Coordinator with administrative education duties.
Help create and maintain basic publisher:level class flyers.
Assist in creating class packets for courses taught by the Education Coordinator or certified Sales Representatives.
Manage and maintain Education documents in the office and on our shared public documents folder for the Education Department

: Education and Experience
High school diploma or equivalent required.
Minimum of 2 years in a professional office environment required.
: Job Knowledge, Skills and Abilities
Adept knowledge of all aspects of office administration.
Strong team building and interpersonal skills.
Ability to generate a feeling of trust and confidence, and establish and maintain effective relationships as necessitated by work assignments. Strives for continuous improvement and solicits customer feedback to improve service.
Strong organization and time management skills with the ability to manage competing demands and prioritize work to meet deadlines in a fast:paced environment.
Effective written, verbal and listening communications skills. Ability to speak clearly, listen and get clarification; read and interpret written information; write clearly, accurately and concisely. Ability to read and write English fluently.
Strong attention to detail; ability to be highly accurate with critical information and be able to adapt during constant interruption of duties.
Solid attendance history.
Positive and productive attitude.
