Position Overview

The Operations and Marketing Coordinator provides administrative support to the Senior Vice President, Operations & Marketing, as well as program support to the operations team. Additionally, this role supports space planning, staff competency documentation, facilities duties as assigned, and some project management in Operations and Marketing. This individual is a pivotal team member to the operations group, and a key partner to other areas of the organization.

Key Responsibilities

* Manage calendars, meeting scheduling, travel coordination and other routine administrative tasks for the SVP and others in the team.

* Arrange in-house and offsite meetings, ensuring meeting rooms are reserved with appropriate AV/Teleconferencing equipment and any food and beverage requirements.

* Coordinate travel arrangements (flights, cars, hotel, etc.) with attention to quality and detail; process associated expense reports.

* Provide program/project coordination such as:

* Providing marketing support with communication mailings, managing event registrations, updating addresses

* Maintaining competencies and documentation of laboratory staff, updating proficiency testing, partner with managers to ensure laboratory staff are completing and documenting trainings in a timely fashion

* Schedule laboratory trainings

* Budget tracking for the various departments within the operations team

* Facilities support for space planning, seating charts, expansion projects, etc.

* Review departmental administrative needs with a proactive eye to efficiency and organization; proactively develop and streamline processes.

* Compose and edit a variety of professional documents (email, agendas, minutes, presentations, memos, spreadsheets, etc.), both internal and external to the organization.

* Establish and maintain files and confidential departmental records.

* Anticipate needs based on current business initiatives, exercising discretion and independent judgment on a regular basis.

* Actively and regularly participate as a member of an onsite administrative team to perform shared office management and administrative services for the location.

Experience and Skills:

* Associates or Bachelor degree is strongly preferred; high school diploma or equivalent required

* Minimum of 3 years experience in an administrative support role

* Specialized knowledge and skills:

* Full proficiency of Microsoft Office applications including Word, Excel, and PowerPoint

* Data management skills

* Ability to anticipate and be exceptionally proactive in identifying departmental needs and assisting with getting things done

* Demonstrate a true team player approach, ensure positive regular interaction with key leadership and office administrative support team

* Proven success handling complex travel arrangements

* Demonstrated ability to work independently and effectively with strong organizational skills, accuracy, and attention to detail

* Excellent listening and verbal communication skill

* Solid business writing skills including a strict eye for grammar and spelling

* Ability to manage multiple tasks and balance competing short and longer-term priorities
