SAP Concur is seeking a Senior Executive Assistant for SAP Concur Chief Marketing Officer. The Senior Executive Assistant provides SAP Concur CMO support and serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CMO. The Executive Assistant also serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is purpose-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Provide SAP Concur CMO with a broad variety of administrative support, including, but not limited to:
+ Manages an extremely active calendar of appointments; this includes scheduling appointments, establishing agenda and meeting goals, compiling presentations and running online meeting applications such as Webex, Zoom. Capture meeting minutes and action items. Ensure to follow up on scheduling meetings.
+ Plans, coordinates and ensures the CMO's schedule is followed and respected. Ensure the CMO s personal appointments are respected. Work with the CMO Chief of Staff in creating win-win situations for direct access to the CMO's time and office.
+ Manages office of the CMO incoming invoices and submits them through the appropriate procurement processes and see through payments.
+ Coordinates CMO staff meetings such as townhalls, QBRs, all-hands, team offsite and team meetings; captures meeting minutes and next steps; follow up on scheduling identified future meetings
+ Arranging complex and detailed international travel plans, itineraries (air, car service, trains, security, hotel..), create agendas; and compiling briefing documents for travel-related meetings.
+ Submits travel and non-travel related expenses.
+ Provides a bridge for smooth communication between the CMO s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
+ Works closely and effectively with the CMO and the office of the CMO to keep the team well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a \"barometer,\" having a sense for the issues taking place in the environment and keeping the office of the CMO updated.
+ Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CMO and office of the CMO. Projects can vary such as analytical projects, budgets, data entry, keeping organizational charts updated.
+ Coordinates employee engagement initiatives including but not limited to; team building activities, celebration of successes, team dinners, lunches, monthly snacks
+ Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
+ Understands and is considerate of global timezones, diverse cultures, needs and languages.
**Education, Experience & Training Required:**
+ Bachelor s degree in business or equivalent experience
+ Ability to pass a background check
**Job Specific Specialized Knowledge and Skills:**
+ Thorough knowledge of administrative practices and procedures
+ Exceptional office skills Outlook, Word, Excel, PowerPoint, and webcasting tools such as WebEx, Zoom.
+ Excellent customer service skills
+ Knowledge of international protocol
+ Operates with minimal guidance and can quickly anticipate the needs of the senior leaders they support
+ Excellent communication and interpersonal skills
+ Excellent knowledge of presentation and spreadsheet software
+ Detail oriented and able to handle multiple priorities effectively
