Sr. Executive Administrator (Seattle)
Our client, a well:established Real Estate Developer is looking for a Sr. Executive Administrator to support their Leadership Team. This position is perfect for someone who has experience supporting multiple executives simultaneously and has worked in the lending, legal or development industry.
SUMMARY:
This person will provide support to the Wealth Management division of the company. The position requires exercising independent judgment administrative details. If you are can provide highly organized, reliable, resourceful and discrete support services to busy executives, we want to hear from you
Responsibilities:
:Provide integrated executed support to the Leadership Team. Manage business and personal workflow, assist with scheduling logistics, manage meeting agendas and minutes.
:Provides support that includes scheduling of appointments, managing Outlook calendars, arranging meetings, maintaining physical and electronic files for contacts, working files and permanent files, making travel arrangements, scheduling and arranging conference rooms, screening mail, photocopying and filing, as well as coordinating attendance to special events, tickets, and sponsorships for various departments and operations personnel.
:Plans and supports internal and external events held in office, including working with caterers and event planners from other organizations.
:Transcribes from handwritten draft or audio transcription (including dictation and voice:mail), letters, memos, reports, forms and company manual
amendments/revisions of a complex and/or confidential nature.
:Drafts and edits various documents, including but not limited to company:wide communications regarding matters of significance to company strategy, vision, etc. Includes initiating the drafts of such documents and monitoring the editing process with the President, and occasionally other senior managers / department managers.
:Provides personal assistance to Wealth Management Team including letters, meeting set up, financial matters, support of non:profit board activities and professional engagement arrangements.
:Assist with Annual Planning Retreat arrangements including venue, lodging, meals, etc.
:Identify, design, develop and implement efficiency improvements in support of President/VPs.
QUALIFICATIONS:
:5+ years relevant experience
:Associates or Bachelors degree desirable
:Experience in banking, paralegal, high:level support experience is a plus
Required Attributes and Skills:
:Experience supporting multiple executives at one time
:Solid work history with long stints at each job
:Desire to learn about the commercial construction industry
:Possess tact and integrity in the discrete handling of confidential information and documents
:Present polished and professional demeanor, telephone etiquette and presentation skills
:Strong attention to detail and accuracy
:Working knowledge of MS Word, Outlook, Excel, and PowerPoint
:Excellent verbal, written communications and computer skills
:Skill in organizing information to optimize efficiency
:Knowledge of the construction, architecture, or engineering industries is a plus.
Salary 70K:90K DOE
