Visit us to learn more at www.atscorp.net. Applied Technical Services (ATS) is searching for a Receptionist ! POSITION SUMMARY This person represents the company in a professional, personable manner. They greet customers, clients, suppliers, employment applicants and other visitors. They handle all incoming telephone calls. They will also assist the HR department and other managers by performing clerical tasks, such as job postings, interview scheduling, word processing, filing, record keeping, and mail processing. This is a full time position (M-F, 8:00 AM - 5:00 PM). The ideal candidate is someone who has some HR experience, friendly, enjoys multi-tasking, and learning new things. This is an entry-level position for someone who would like to develop their skill set in the HR function. ESSENTIAL DUTIES AND RESPONSIBILITIES Answer the telephone and direct caller or guest to destination/employee and answer inquiries. Greet visitors and guests in the reception area, and provide job applications to walk-in candidates. Collect and distributes mail and messages. Faxes documents and distributes incoming faxes to the appropriate person. Maintains front desk forms, keeps lobby and front desk clean and neat. Handles ordering and maintains accurate records of all company property signed in or out by employees. Maintains simple files, posts records and logs; compiles minor statistical data. Manages all building and other miscellaneous keys by maintaining key log and key file. Manages office supply cabinet-works with supplier and within ordering procedures. Assists with planning for company events and activities. Performs variety of clerical duties including typing memos, correspondence, reports, and other documents. Other duties as assigned. EDUCATION AND EXPERIENCE REQUIRED High school or GED Diploma. 1-3 years Reception experience is strongly preferred. Background in HR is strongly preferred. Must have experience using a multi-line phone system. REQUIRED KNOWLEDGE, SKILLS AND ABILITIES Must be comfortable multi-tasking in a fast paced environment. This individual must have an exceptionally friendly personality, provide excellent customer service and display an “in-control” attitude while managing the front desk. Have the ability to communicate effectively on the phone, smile at our guests, and maintain key information and projects on the computer. Must be extremely organized and detail-oriented. Must have strong verbal communication skills necessary to handle a variety of situations. Ability to read and comprehend instructions, correspondences, and memos. Ability to effectively present information in one on one and small group situations to customers, clients, and other employees of the organization. Highly skilled in using MS Office Suite (Office, Excel, Power Point, Publisher) Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Relies on experience and judgment to plan and accomplish goals. A certain degree of creativity and latitude is required. While performing the duties of this job, the staff member is regularly required to sit. The employee is occasionally required to stand, walk, and reach with hands and arms. Staff member will perform moderate repetitive hand movement as associated with computer keyboard use. The working environment is a traditional office environment. ERGONOMIC REQUIREMENTS The employee may be required to stand, walk, push, pull, reach overhead, and bend to the floor. The employee may also be required to exert up to 20 pounds of force occasionally, and/or exert up to 10 pounds of force frequently. The employee is subject to a normal office and shop environment with occasional exposure to high noise levels from operating machines or physical hazards from moving equipment and machine parts. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential and non-essential functions of this job. While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel objects, tools, or controls.
