Pay Status: Exempt Salaried
Reports To: Financial Controller/HR Manager
Works in cooperation with: Finance Department
Scheduling Expectations: 40+ Hours per week

Teatro ZinZanni presents a full evening of entertainment combining cirque artists, European cabaret, contortionists, jugglers and illusionists with live music and a gourmet five-course meal. Set in an antique jewel box tent imported from Belgium.

POSITION SUMMARY
We have an exciting opportunity for an experienced HR/Accounting Administrator. In this role you will interface with many levels of Teatro ZinZanni employees, performers and external agencies so your customer service skills are essential. You’ll need to be hard working, able to meet time sensitive dates, flexible, have an ability to think outside of the box, and be a team player while working independently.

ESSENTIAL FUNCTIONS

Human Resources Duties and Responsibilities (75%):
• Administration of employee related benefits including company medical, dental, vision plans, paid time off, City of Seattle and State of Washington Paid Sick and Safe leave ordinance
• Communication of benefits to qualifying employees as they become eligible to participate in company plans (plan benefits, shared costs, enrollment forms, etc.)
• 401(k) compliance and reporting.
• Update the provider websites for changes (new hire, termination, life changing event)
• Reconcile the monthly provider invoices and forward to finance for processing
• Coordinate the annual open enrollment for all locations
• Maintain the current employee handbook by updating any company and/or policy changes and changes in compliance laws
• Maintain/develops internal forms used (new hire packets, disciplinary action, work injury reporting, performance evaluation, etc.)
• Manage personnel files for all employees
• Provide assistance to employees and onsite mangers with questions as needed
• Ensure compliance of worksite mandatory postings (labor law, OSHA, etc.)
• Develop and maintain written position descriptions for all hourly positions.
• Complete, for management review, any request/census reports required by external agencies
• Take lead and investigate all L&I claims submitted by company hourly and salaried employees, and performers
• Continued follow up with employee, State L&I agency and medical providers as required.
• Take lead and investigate all claims seeking unemployment benefits
• Track and communicate key employee dates to their manager (anniversary, performance review, probation period end, certain permits for renewal, etc.)
• May assist in reviewing applications for open positions, conducting initials phone interviews, and forwarding a selection of qualified applicants to the hiring manager
• Keep informed of legal updates/changes to labor laws and provide synopsis to management
• Takes the lead on employee relations issues and resolution. Offer guidance to department managers regarding proper procedures and handling of such issues
• Other human resource duties as assigned

Accounting Duties and Responsibilities (25%):
• Process company semi-monthly payroll for salaried and hourly employees and bi-weekly payroll for performers using ADP Workforce Now and Sage Accounting systems
• Maintain the employee data base in ADP Workforce Now
• Ensure all employee reimbursable expense reports are processed using the payroll system
• Ensure that vacation and or sick leave used is recorded using the payroll system and company tracker
• Ensure that all required deductions are withheld each payroll (benefits, advances, taxes, etc.)
• May prepare manual checks as required to be processed through ADP during the next payroll run
• Process employment verification requests
• Maintain, electronically, all reports and related payroll information in a secured internal directory
• Other payroll duties as assigned
• Responsible for processing weekly AP invoices received by verifying the account coding, correct approval, terms, amount due, etc. and entering them into the company accounting system
• Responsible for preparing the weekly check run including printing of checks and distribution
• Reconcile the AP aging report to the balance sheet
• Receive and code employee expense reports and submit to payroll for processing
• Reconcile vendor statements as received and follow up with the vendor to secure any missing invoices and credits and forward them to the appropriate manager for approval
• Research and respond to inquiries relating to AP by managers and/or vendors
• Maintain the integrity of information in the vendor data base in the company accounting system as well as the hard copy of vendor files
• Maintain vendor 1099 information in the accounting system and in hard copy for audits
• Ensure local sales use tax is paid on purchases in which the company is the end user and provide this information to the Controller for tax reporting

JOB QUALIFICATIONS
Desired skills and experience:
• Knowledge of federal and Washington employment laws and compliance, personnel policies and HR procedures
• Experience handling sensitive and confidential information
• Proficiency in Microsoft Office Suite (Outlook, Excel, Word, and Power Point)
• Experience working with ADP
• Experience with multi state payroll processing
• Interpersonal communication and writing skills
• Attention to detail, time management and organizational skills
• 3+ years of payroll/HR. Professional certification, desired
• AA degree or higher from an accredited college

WORKING CONDITIONS/ENVIRONMENT

Works in a general office environment at Teatro ZinZanni’s HQ office (located in Seattle’s Magnolia neighborhood) and onsite at Redmond’s Marymoor Park and other locations as required. Position requires a valid drivers license. Must be able to regularly use hands and fingers as with a computer; must be able to regularly speak and write in English; and talk and hear. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus. Generally 40 hours per week, shifts may include early mornings and/or late evenings. Additional hours may be required.
