SUMMARY OF DUTIES:
This position provides administrative and secretarial support for the senior level managers of the Vice President, and provides support to numerous leaders to ensure efficiency and effectiveness of the day:to:day operations of the office. Maintains records of all expenses incurred by office, composes, edits, and assists in preparation of all correspondence. Coordinates travel arrangements. Procures office equipment and supplies while adhering to budgeting guidelines. Provides training to and serves as a backup for other assistants. Acts as a liaison with other departments and outside agencies, including high:level staff such as General Managers and Chiefs. Handles confidential and non:routine information and explains policies when necessary. Sorts and distributes mail. Screens incoming calls. Establishes and maintains extensive filing system.
The Executive Assistant will be responsible for demonstrating Amtraks values and leadership philosophy while providing customers with excellent service and meeting performance targets that are driven by and aligned with the Strategic Plan goals in the following areas:

: Safety leading measures (e.g., contact rate, participation rate, coached observations rate)
: Safety lagging measures (e.g., FRA reportable injury rate, passenger injury rate, operating safety measures)
: Security metric for employees and customers
: Prepares and maintains a complex events and meeting calendar
:Responsible for the orderly flow of correspondence into and out of the Division
: Performs broad range of administrative details of highly confidential nature on a regular basis, requiring initiative and judgment to make independent decisions
: Maintains managers calendar, regularly arranging meetings, conferences, and appointments
: Arranges hotel and travel accommodations
: Coordinates and prepares routine and special reports
: Handles visitors and telephone calls personally or directs them to the appropriate party
: Maintains filing system for Division documents
: Attends and prepares minutes from meetings
: Performs other duties and projects as assigned
: Bachelors degree and at least 2+ years of related administrative experience (minimum of 6 years related experience without a degree)
: Proficient in a variety of computer software applications (preferably in Microsoft Office) in word processing, spreadsheets, database and presentation software (Word, Excel, Powerpoint)
: Ability to create first drafts of various communication documents for Vice President and staff
: High level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy
: Must have analytical ability in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work
: Must be able to streamline work methods and processes to eliminate inefficiencies
