Job Description We’re seeking a friendly and outgoing Executive Assistant to join our Mid-Atlantic team. The perfect candidate is highly driven, personable and resourceful professional with valuable and diverse experience as an Executive Assistant. Vital to this role is the flexibility to adapt to rapidly changing situations while being able to effectively prioritize time management to ensure maximum efficiency. Position Summary: This position is responsible for providing critical administrative support to the SVP and Mid-Atlantic team in their management of day to day real estate development activities. The Executive Assistant assists the SVP with the day-to-day management of daily procedures and special projects and is often the connecting point between the SVP and WinnDevelopment’s corporate office and other stakeholders. The Executive Assistant must be capable of effectively and professionally communicating with personnel at all levels of the company and with external partners and clients. Essential Responsibilities: Primarily responsible for providing administrative support to Senior Vice President and Regional office head for WinnDevelopment Responsible for representing himself/herself in a professional manner with all clients and company employees, including both oral and written communication Manage calendar, including personal & professional events Make all personal and professional travel and entertainment arrangements (working with travel agent as necessary) Highly sensitive document review, including confidentiality agreements for potential acquisitions, sales and consultant agreements Coordinate meetings for SVP and team both internally and externally with clients, vendors, partners, as directed by SVP Work with Public Relations Department and Project Directors to create and manage marketing materials and invites for new property groundbreakings/ribbon cuttings Creation and submission of monthly personal and corporate card expenses Submit invoices for vendors, and follow up on previously submitted invoices regarding correct submission and payment schedules Analyze and prepare all check requests for Regional Office. Copy, mail and file paid invoices. Provide General Administrative Support and basic Office Management duties including but not limited to file management systems (storage and archiving), managing and placing orders for supplies, meeting preparation, package deliveries, receiving guests, liaison to building management and contractors/vendors for office space etc. Participate in special projects, as assigned including, but not limited to conference presentations, development team projects, proposals/offering memorandum Assist in organizing and preparing financing applications and project binders Job Requirements: High School required; Bachelors degree preferred 3-5 years experience as an Executive Assistant Computer Skills –MSOffice Suite a must, Yardi experience preferred Must possess excellent verbal and written communication skills Experience with Real Estate Development or Property Management companies Excellent organizational and recordkeeping skills; must have exceptional follow up and follow through on tasks Detail-oriented and act with a sense of urgency in completing tasks Ability to exercise good judgment, time management and apply initiative.
