Executive Assistant
Position Overview
We are searching for an Executive Assistant who will be responsible for providing administrative support to both the Chief Strategy and Business Development Officer and the SVP of Operations. The ideal candidate knows how to be successful and proactively add value in a fast pace, high energy and ever changing environment. They also must have a passion for interacting in a positive and creative manner with customers, team members, contractors, and suppliers.
Key Responsibilities
:Assists with preparing reports, correspondence, presentations, schedules, and spreadsheets
:Coordinates travel arrangements, meetings, schedules and seminars
:Plans meetings and conference calls including scheduling conference rooms, preparing materials and coordinating participants
:Prepares and submits expense reports as needed
:Maintain calendars
:Attend staff meetings and coordinate follow up action items
:Performs assignments that are confidential in nature and/or require tact and diplomacy
:Prioritizes emails using grading approach
:Coordinate vendor contracts with both internal and external parties
:Traditional administrative duties including but not limited to: creating and maintaining filing systems, data entry, answering, screening, and routing telephone calls, copying, faxing and scanning, etc.
:Organize and distribute daily reports
:Maintains group lists and org charts
:Manages office mailings
:May assist with human resources, finance, communications, or other company programs.
:Other duties and assignments as required
Education and Experience
:High school degree; Associates Degree highly preferred
:5+ years related experience supporting VP level in larger departments and training; or equivalent combination of education and experience
Knowledge, Skills and Abilities
:Customer service oriented
:Demonstrates strong analytical, organizational, detail oriented, and problem solving skills
:Demonstrates high:level verbal and written communication skills
:Strong coordination and follow up skills
:Capable of working independently with minimal supervision
:Highly reliable and dependable
:Has a solid and unwavering belief in good ethics and honesty
:Must be able to multi:task, prioritize and manage numerous tasks quickly, accurately and efficiently in a fast paced environment with deadline pressure
:Demonstrates a high:level of computer literacy, including proficiency in web:based software applications as well as office productivity applications such as Windows, Microsoft Word and Microsoft Excel
