Administrative Assistant : Operations
Office: Seattle
Department: Operations
Reports to: Vice President of Operations
Shift: 8:30 a.m. to 5:30 p.m. Mon:Fri
The Administrative Assistant : Operations will report to the Vice President of Operations and will provide administrative support for Directors/Senior Directors of West Coast Operations, Legal and Compliance teams.
General administrative and clerical support to include; typing, copying and filing correspondence, memos, letters, and specific project:related materials
Case directory adds, updates and reassignments, CAFA mailings and Tenrox administration
Formatting and assisting with affidavits and declarations
Responsible for updating GNet dockets, templates and other documents as needed
Arranges travel, client meetings and lunches, reservation and setup of meeting rooms
Completes credit card reconciliation for senior management
Responsible for department office supplies orders and inventory management
Maintains Operations department time off calendar
Represents GCG in a professional manner at all times
Communicates effectively, both orally and in writing.
Proficient with Microsoft Office including proficiency with Word, Excel, Outlook and internet research skills.
Strong organization and time management skills.
Ability to maintain the strictest level of confidentiality.
High school graduation and one to three years of administrative experience in a professional services environment or equivalent combination of education and experience.
College degree or related vocational degree preferred
Reports directly to the Vice President of Operations
Ability to sit for prolonged periods at a computer. Fast:paced environment with deadlines often demanding prolonged work hours for completion of projects. Keyboarding 50 of time.
Must be able to lift up to 25 pounds.
